A supplier email sounds abrupt, so you ask AI to make it polite. The revised version looks better, but now it says cancel the order. That is not a style improvement; it changes your decision. Begin by identifying the facts and commitments that must survive. In this fictional late-delivery example, tone can change while quantities, deadlines, and the conditional remedy stay fixed. The person writing still decides what happens.

The original message concerns twelve folding stools promised for October eighth, twenty twenty six. Today is October ninth and they have not arrived. The writer requests a delivery-date confirmation by noon on October tenth. If delivery cannot happen by October twelfth, the supplier should explain how to cancel the undelivered order. The writer has not decided to cancel. These are invented business details, not a real dispute or an actual supplier.

Mark two layers before rewriting. The fixed layer contains the quantity, promised date, current status, response deadline, delivery condition, and requested explanation. The flexible layer contains greeting, sentence order, and courteous wording. Our prompt says preserve every date, quantity, condition, and remedy. Do not invent a delivery confirmation or turn a request for information into a cancellation. Return a draft only. That makes the review target more precise than simply make this nicer.

Our illustrative rewrite says the order of twelve stools was due October eighth and has not arrived as of October ninth. Please confirm the expected delivery date by noon on October tenth. If delivery by October twelfth is not possible, please explain the process for canceling the undelivered order. We have not decided to cancel at this stage. We wrote this example ourselves; it is not a recorded output from a named tool.

Compare the draft with the original one requirement at a time. Twelve stools remains twelve. The promised date and current date remain different dates. Noon on October tenth remains the reply deadline, not the delivery deadline. October twelfth remains a condition for asking about cancellation. The sentence cancel the order now would fail that last check, even if it sounds professional. A courteous rewrite must not quietly make a business decision.

Only after the meaning check should you judge tone. Is it readable, appropriately direct, and suited to the relationship? You can shorten a greeting without deleting a condition. If the original contains an ambiguity, ask the author rather than choosing a new commitment.
